The Main Difference Between a Quotation and an Estimate
- A Quotation is for an agreed fixed price.
- An Estimate is for an approximate price that may change. An Estimate is a non-legally binding document. It is an approximation of costs for a project. It is not a promise. Estimates seldom include specific details.
What is a Price Quotation?
A Quotation (also called a Sales Order or Proposal) is a fixed-price offer that cannot be changed once accepted by the customer and the provider. Both parties must adhere to the quoted price even if more work than expected becomes necessary. For this reason, quotations specify precisely what will be done and list any situations that will trigger additional charges (Terms and Conditions). Quotations also include an expiry date after which they are no longer valid.
When comparing offers from competing companies, always check whether you are receiving an Estimate or a true Quotation. Estimates are almost always significantly lower than firm, detailed Quotations.
In the sign industry, proper Quotations reflect due diligence and real understanding of the project. Estimates are often used simply to “reel in” a prospect with minimal effort while avoiding details or situations that would increase the price. Buyer beware.
